    Octagon Talent Solutions is looking for an Administrative Assistant to provide comprehensive support for the Technology departments for one of our clients. You will have exposure to different units within IT, such as ERP, IT and Security.  This individual is highly motivated team player able to work in a fast-paced environment, bringing a positive influence to the team and has the ability to work with staff, sometimes under pressure, remaining flexible, proactive and efficient, with a high level of professionalism.     Responsibilities

    • Provide general administrative support, fielding and forwarding phone calls – as needed
    • Manage calendars, meetings and appointments
    • Schedule conference rooms as needed
    • Maintain inventory of office supplies and kitchen supplies
    • Submit, code and reconcile expense reports for all credit cards
    • Manage timesheets accordingly to payroll process
    • Processing invoices for payment according to AP process
    • Performs all other job duties and responsibilities as assigned
    • Arrange and coordinate travel as needed or required
    • Filling out forms required by corporate for computers, credit cards, mobile phones, HR, for new hires, etc.
    • Ability to work on multi-tasks and/or projects at the same time
    • Maintain and organize kitchen for the department
    • Help front desk as needed or required with visitors and answering phone calls
    • Ability to plan events for team as needed or required

    Qualifications

    • Proven administrative assistant with 1-2 years of experience preferred; no experience acceptable for the right candidate
    • Knowledge of office management and procedures
    • Excellent time management skills and ability to multi-task and prioritize work
    • Attention to detail and problem-solving skills
    • Excellent written and effective verbal communication skills
    • Strong organizational and planning skills
    • Proficiency in MS Office
